RoleBud ("RoleBud", "we", "us", or "our") operates the website at rolebud.ai and all associated services (collectively, the "Service"). This Privacy Policy explains how we collect, use, share, and protect information about you when you use the Service.

2.1 Information you provide directly

• Account data: email address and password (managed via Supabase Auth).
• Profile and preferences: job titles, skills, locations, work authorisation status, salary expectations, remote/hybrid preferences, and any other information you enter during onboarding or in settings.
• CV / résumé content: the full text of any CV or résumé you upload or paste. This text is stored in our database and processed by AI models to generate tailored cover letters, interview answers, and career coaching responses.
• Writing style samples: any text you submit to train your personal writing style profile.
• Chat messages: all messages you send to RoleBUD (career coach) and FeedBUD (job feed assistant).
• Watchlist companies: company names you add to your personal watchlist.
• Payment data: when you subscribe to Pro, payment is processed by Razorpay. We do not store full card numbers or bank details. We store your Razorpay subscription ID and subscription status.

2.2 Information collected automatically

• Usage data: pages visited, features used, and interactions within the Service (collected via Google Analytics / Google Tag Manager).
• Device and technical data: IP address, browser type, operating system, referring URLs, and session identifiers.
• Cookies and similar technologies: session cookies for authentication and analytics cookies. See Section 8 for details.

2.3 Information from third parties

• Job listings: we aggregate publicly available job postings from job boards and company career pages (Greenhouse, Lever, Ashby, and others) to populate your job feed and watchlist alerts.

We use the information we collect to:

• Create and maintain your account.
• Provide, personalise, and improve the Service, including generating your job feed, cover letters, interview answers, and career coaching responses.
• Process payments and manage your subscription via Razorpay.
• Send transactional emails (account confirmations, password resets, subscription receipts).
• Monitor and analyse usage to improve Service performance and features.
• Detect, prevent, and address fraud, abuse, or security incidents.
• Comply with legal obligations.

We do not use your CV data, chat messages, or writing samples to train AI models for purposes beyond generating outputs for your personal use of the Service.

We do not sell your personal data. We share your information only in the following circumstances:

4.1 Service providers (sub-processors)

Each provider processes your data only as necessary to perform their specific function.

4.2 Legal requirements

We may disclose your information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of RoleBud, our users, or the public.

4.3 Business transfers

If RoleBud is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Service before your information becomes subject to a different privacy policy.

RoleBud serves users globally. Your data may be processed and stored in countries outside your own, including countries that may have different data protection laws. Our sub-processors (Supabase, OpenRouter, Razorpay, Google) operate data centres in various regions. Where required by applicable law, we rely on appropriate transfer mechanisms (such as Standard Contractual Clauses) to protect data transferred internationally.

We retain your personal data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymise your personal data within 90 days, except where we are required to retain it longer to comply with legal obligations (for example, financial records required for tax purposes). AI-generated outputs (cover letters, answers) that you have not explicitly saved may be purged sooner.

Depending on where you live, you may have the following rights regarding your personal data:

• Access: request a copy of the personal data we hold about you.
• Correction: request that we correct inaccurate or incomplete data.
• Deletion: request that we delete your personal data ("right to be forgotten").
• Portability: request your data in a machine-readable format.
• Restriction / Objection: restrict or object to certain processing activities.
• Withdraw consent: where processing is based on consent, withdraw it at any time.
• Opt out of analytics: you can disable Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

EEA / UK users: you have the right to lodge a complaint with your local supervisory authority if you believe we have processed your data unlawfully.

We use the following types of cookies:

• Strictly necessary: authentication session cookies required for the Service to function. These cannot be disabled without breaking the Service.
• Analytics: Google Analytics cookies (e.g. _ga, _gid) that help us understand how the Service is used. You can opt out as described in Section 7.

We do not use advertising cookies or sell your data to advertising networks.

We implement commercially reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration. These include HTTPS encryption in transit, row-level security in our database, and access controls. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, and you use the Service at your own risk.

The Service is not directed to children under the age of 16. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has provided us with personal data, contact us immediately and we will delete that information.

The Service may contain links to external websites and job postings we do not own or control. This Privacy Policy does not apply to those third-party sites. We are not responsible for the privacy practices of any third party. We encourage you to review the privacy policies of any external site you visit.

When you use AI features (cover letter generation, interview answer writing, RoleBUD chat, FeedBUD chat), your input — including CV content, job descriptions, and chat messages — is transmitted to OpenRouter and its underlying AI model providers for processing. OpenRouter's data handling is governed by its own privacy policy. We do not store the raw API requests/responses beyond what is necessary to display results to you and enforce usage limits.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. If we make material changes, we will notify you by email or via a prominent notice in the Service. Your continued use of the Service after changes become effective constitutes your acceptance of the updated policy.
